ROLE
Unlike traditional Logistics Executives focused on daily coordination, the Management Associate (Logistics) sits directly under leadership and is responsible for:
establishing structure,
enforcing operational discipline,
driving digital adoption, and
building scalable workflows for long-term departmental reform.
You will directly lead improvements in order accuracy, production triggering, delivery planning, fleet utilisation, documentation governance, with accelerated exposure and grooming toward supervisory responsibilities.
This is a hands-on role requiring at least 2–3 years of logistics/supply chain/operations experience.
KEY RESPONSIBILITIES
A. Order Management & Production Triggering
Validate and process daily orders with ≥98% accuracy, ensuring correct SKU, quantity, pricing, and delivery details.
Consolidate confirmed orders and generate accurate production triggers.
Monitor stock levels and flag fulfilment constraints ahead of time.
Track fulfilment status and communicate exceptions to Sales, Warehouse, and Production proactively.
B. Delivery Planning & Scheduling
Plan and optimise daily delivery plans/route schedules based on capacity, customer priorities, and drop points.
Allocate trucks and drivers efficiently, aiming to improve utilisation and reduce unnecessary kilometres/trips.
Tighten dispatch discipline.
Coordinate loading plans with Warehouse & Production to ensure timely dispatch.
C. Fleet & Driver Coordination
Collect, verify, and digitise daily trip sheets, allowances, and mileage tracking.
Maintain the fleet maintenance calendar (preventive and corrective) and ensure timely servicing/repairs.
Drive compliance for driver checklists, gate-pass validation, and SOP adherence.
Support investigations into delays, breakdowns, or delivery issues.
Track downtime, cost, job sheets and conduct root-cause analysis for repeated issues. Consider and provide improvement proposals on the same.
D. Export Coordination
Support export logistics by preparing schedules, checklists, and documentation packets.
Liaise with QA, Warehouse, and forwarders to ensure containers load on time and accurately.
Track export shipment performance and documentation errors.
E. Governance, SOPs & Reporting
Document and update SOPs, workflows, forms, and checklists across the logistics workflow.
Drive digital adoption through shared drives, standard naming conventions, and structured templates.
Produce weekly dashboards (utilisation, order accuracy, delays, maintenance status, exceptions) and analysis of such dashboards.
Maintain the issue log and follow through on closure with relevant departments.
F. Continuous Improvement
Identify bottlenecks / gaps in planning, accuracy, documentation, and communication, and propose redesign.
Conduct root-cause analysis for repeated errors (late orders, wrong SKUs, underutilised trucks).
Drive behavioural discipline across the team (drivers, clerks, planners).
Support long-term restructuring initiatives for the department, including clarifying roles and designing future headcount needs.
REQUIREMENTS
Experience
Mandatory: At least 2–3 years of experience in any of the following:
Logistics coordination
Transport planning
Order management / customer fulfilment
Production/warehouse coordination
Supply chain operations
Experience dealing with route planning, driver coordination or fleet management is highly advantageous.
Skills & Competencies
Strong proficiency in Excel.
Ability to design and maintain digital trackers, dashboards, and structured documentation.
Detail-oriented with a strong process-driven mindset.
Clear communicator, able to coordinate across Sales, Production, Warehouse, QA, and Drivers.
Ability to enforce SOPs tactfully but firmly.
Problem-solving mindset with resilience under operational pressure.
